7.2 - Workspace Roles

Roles regulate access rights in shared ALLMEDIA workspaces.

In this article, you will learn how role allocation works in a workspace and how to assign specific user rights. You understand which role allows which actions — and where the limits lie. You'll also learn how to define roles when inviting and change them afterward. This helps you to make team processes efficient and maintain control over content, channels, and publications.

  • 🔐 Note: The role determines the system functions. What you can see and do therefore depends directly on your role in the active workspace.

    🛠️ Assigning or changing roles

    When inviting users:

    1. Open the area Workspaces > Managing Members.
    2. Click on “Invite a member”.
    3. Enter the email address and select the appropriate role directly.
    4. The user receives an invitation via email with a membership link.

    Change role later:

    1. In your workspace's member list, you'll find all active users.
    2. Click the role dropdown next to the name.
    3. Select the new role — it takes effect immediately.

    Remove members:
    Workspace admins can remove members at any time. Content is retained, authorship remains visible.

    Unable to change or invite a role?
    Make sure that you admin rights in the current workspace. Only admins can manage roles.

    📬 Invitation link not working?
    Invitations are for security reasons Valid for a limited time. Ask the admin to send a new invite.
